President

Leads the Institute by directing all operations and guiding the organization in long-range planning and development activities.

Principal Accountabilities
1.    Serve as President of the EC
2.    Preside at all general meetings and provide leadership and vision to the Institute
3.    Establish the order of business at all meetings following rules of order mentioned in the Bylaws and “Roberts’ Rules of Order”
4.    Provide tie-breaking vote, as required, for EC meetings
5.    Represent the Institute at other society meetings and act as spokesperson for the Institute
6.    Direct business of Institute originating through EC resolutions and activities of Technical Divisions, Technical and Standing Committees, and ad hoc committees as required
7.    Prepare “Message to Members” for each issue of JNMM, “Letter from President” in Annual Membership Directory and The Communicator, and other special letters/memos as required
8.    Serve as chair for the Plenary Session of Annual Meeting Business meeting
9.    Co-sign checks in absence of the Treasurer
10.  Preside at Awards Presentations Banquet
11.  Present sustaining member plaques
12.  Present awards
13.  Coordinate annual performance evaluation of the INMM Management Firm

 

Vice President

Serves as the deputy for the President, provide oversight of the Annual Meeting, and assist in formulation of sound financial fiscal practices. The Vice President also performs ad hoc activities as needed to support the leadership goals of the INMM President.

Secretary

Provides oversight of the INMM Headquarters in the area of administration, to assure that the Articles of Incorporation are maintained current and that a statutory agent is on record in the State of Ohio, and to provide oversight of INMM chapters. The INMM Secretary is also responsible for providing historical continuity for the Institute.

Principal Accountabilities
1.    Maintain a record of the proceedings of the INMM
2.    Serve as Secretary of the EC
       a.    Give advance notice of all meetings of the INMM to members
       b.    Mail ballots to members for election of officers and other elective positions, and for proposed amendments to the INMM Constitution and Bylaws
       c.    Notify members of the voting results of elections and proposed amendments
       d.    Maintain roles of all members
       e.    (Note) The above accountabilities may be delegated to the INMM Headquarters Executive Director with the approval of the INMM EC
       f.     Serve as standing member of Membership Committee
3.    Provide oversight of INMM chapters
4.    Assist in the preparation of the annual budget
5.    Provide oversight for specified and approved INMM activities
6.    Co-signs checks in the absence of the Treasurer
7.    Serve as standing nonvoting member of the Membership Committee and Nominating Committee to provide sense of historical continuity for INMM
8.    Surrender to a successor all books, records, correspondence and documents of the INMM.


Treasurer

Manages the finances and promote the financial well-being of the INMM, including budget planning, revenue collection, expenditure payment, and maintenance of an independent set of financial records. Provide oversight of the INMM Headquarters Staff, in the area of finance.

Principal Accountabilities
1.    Budget
       a.    Prepare budget call and send to the INIMM officers, EC, Oversight Chairs, Technical Division Chairs, Chapter Presidents, Annual Meeting Committee, Technical Committee Chairs, Standing Committee Chairs, and the INMM Management Firm. (Early September)
       b.    Prepare draft budget incorporating budget call responses, including projected income expenses. The budget package also includes recommended Annual Meeting registration charges. Present the draft budget at the Fall EC meeting in November. Ensure draft budget provides for:
       c.    Projected revenues from dues, Journal, Annual Meeting including: interest from financial institutions, divisional and chapter workshops and to periodic symposia or meetings that INMM sponsors either fully or jointly, and other income producing activities.
       d.    Projected expenses for society headquarters, Journal, annual meeting, general administration, technical and standing committee support, chapter support, technical division support, divisional workshops and topical meetings, periodic symposia or meetings that INMM sponsor jointly, and other expense-incurring activities including INMM management firm fees/INMM Headquarters revenue sharing.
       e.    Based on EC review and approval, finalize budget and send to individuals listed in Item 1a.
2.    Perform the following routine and ongoing activities associated with managing INMM’s finances:
       a.    Monthly—Review INMM expenditures and sign checks prepared by the INMM Management Firm. Send copies of expenditure vouchers to the INMM Secretary.
       b.    Quarterly—Provide quarterly statements of INMMINMM’s financial position and activity investment account activity, dividends earned, and balance. Review INMM quarterly financial statements prepared by the INMM Management Firm. Present and discuss the quarterly statements at the EC meetings.
       c.    Annually—Prepare draft INMM budget for next fiscal year, with the assistance of the INMM Management Firm. Present in detail at Fall EC meeting.
3.    Maintain a set of financial records by fiscal year, independent of the INMM Management Firm. These should include quarterly financial statements, invoices paid, budget call and preparation of approved budget, annual meeting and workshop summaries, and INMM investment account records.
4.    Provide oversight of the INMM Management Firm, in the areas of financial and treasurer support functions. Ensure performance to the provisions of the contract. 5.    Approve banking institutions used by the INMM Management Firm.
6.    Periodically conduct surveys to assess other professional society dues structures as compared to INMM, and recommend any needed changes.
7.    Serve as standing nonvoting member of the Membership Committee and Nominating Committee to provide sense of historical continuity for INMM.
8.    Surrender to a successor all books, records, correspondence and documents of the INMM.


Immediate Past President

Provides coordination and on-going leadership support to the Institute during transition of outgoing President to incumbent, and serve as Chair of the Nominating Committee to identify candidates for Institute positions.

Principal Accountabilities
1.    Member of EC
2.    Serve as Chair of the Nominating Committee, to nominate members as candidates for each office and position referred to in the INMM Bylaws
3.    Contact Chairs prior to EC meeting, to determine status of activities and committee reports
4.    Provide guidance whenever called upon for consultation, decision-making, problem solving
5.    Provide oversight of Professional Chapters
6.    Provide coordination and ongoing leadership to Institute during transition of outgoing President to incumbent
7.    Participate in TPC review of abstracts for papers for the Annual Meeting
8.    Provide oversight of INMM chapters
9.    Serve as the INMM representative to the World Institute for Nuclear Security (WINS)

Executive Committee Members-At-Large

Assists the EC to direct the business of the Institute. This includes oversight of Technical and Standing Committees, performing budget review, serving on ad hoc committees, and planning and carrying out special assignments as required.

Principal Accountabilities
1.    Attend EC Meetings, casting votes relative to regular and special Institute business. These issues include annual budget, Annual Meeting, Awards, Standing Committee issues, requests for funding, etc.
2.    Provide one standing member for Membership and Awards Committees
3.    Review and approve annual budget of the INMM
4.    Serve on ad hoc committees to address short-term issues of the Institute
5.    Solicit contributed articles for the JNMM
6.    Solicit contributed papers for the Annual Meeting
7.    Perform special assignments, as assigned by the INMM President

Oversight Chairs

 

Operations Oversight

The Operations Oversight Chair is appointed by the Executive Committee and provides an overarching technical and operational perspective across the five standing committees that support INMM operations.

This individual facilitates cooperation and coordination across the committees as well as across all INMM activities. This chairperson also serves as an ex-officio member of the Executive Committee, but has no voting privileges.

Principal Accountabilities
1.    Plan, organize and coordinate overall Operations Division activities
2.    Ensures that the annual review of the Bylaws and Operations Manual has been conducted.
3.    Coordinates activities between Operations Division Chairs and the EC as needed
4.    Identify and recommend appointment of ad hoc or Standing Committee Chairs to the Executive Committee as necessary to address areas of need
5.    Submit to the INMM Treasurer as requested, the Division annual budget request for the subsequent fiscal year
6.    Serve as TPC member

Technical Division Oversight

The Technical Division Oversight Chair provides an overarching technical and operational perspective across the six Technical Divisions.

This chair facilitates cooperation and coordination across the divisions as well as across all INMM activities. This position is intended to provide a greater coordination and integration of Technical Division activities.

1.    Plan, organize and coordinate overall Technical Division activities
2.    Coordinates activities between Technical Division Chairs and the EC as needed
3.    Identify and recommend appointment of ad hoc or Standing Committee Chairs to the Executive Committee as necessary to address areas of need
4.    Submit to the INMM Treasurer as requested, the Division annual budget request for the subsequent fiscal year
5.    Serve as TPC member


Management Support Oversight

The Management Support Oversight position will provide an overarching technical and operational perspective across the five standing committees that support INMM Management.
